About the role you’ll play
As a Membership Data & CRM Assistant, you will support Landscape Ontario’s Membership Department by helping restore and validate historical membership records within Salesforce. Your work will help ensure that member tenure and longevity are accurately reflected, supporting member recognition and maintaining the integrity of our membership data.
In this role, you’ll work with historical accounting and payment records to research, reconcile and backfill membership history into Salesforce. You’ll review data carefully, identify gaps in membership history and ensure records are updated consistently and accurately. You’ll play an important role in improving the quality and reliability of our member data systems.
About you
You’re analytical, detail-oriented and comfortable working with structured data. You enjoy solving problems, researching inconsistencies and ensuring information is accurate and complete.
You’re patient and methodical in your work, especially when handling repetitive tasks or unclear information. You’re comfortable learning new systems and asking thoughtful questions when something doesn’t seem right.
You take pride in accuracy, maintain organized records and communicate clearly when escalating issues or documenting findings.
Responsibilities:
Data Review & Reconciliation• Review historical payment and accounting records provided in spreadsheet format
- Research and identify membership payment history year-by-year
- Identify and document gaps where membership dues were not paid
- Distinguish between continuous membership and re-joins after a lapse to ensure accurate longevity calculations
- Flag ambiguous or incomplete records for further review
- Maintain organized documentation and audit trails of findings and decisions
Salesforce Data Entry & Quality Control• Enter validated membership history data into Salesforce member records
- Update membership tenure and longevity information accurately
- Ensure data entry follows established standards and naming conventions
- Perform quality checks and cross-reference entries against source records
- Support ongoing data integrity initiatives within the membership database
Documentation & Process Support• Document recurring issues, inconsistencies or data quality concerns
- Assist in developing reference materials and internal process documentation
- Communicate progress updates and identify blockers proactively
- Support additional membership and administrative projects as assigned
Requirements:
- University or college student, or recent graduate, in business, data analytics, information management or a related field
- Strong proficiency with Microsoft Excel or Google Sheets, including sorting, filtering and basic formulas
- High attention to detail and accuracy when working with data
- Strong organizational skills and ability to manage repetitive tasks consistently
- Clear written communication skills for documenting findings and escalating questions
- Ability to work independently while also collaborating with the membership team
- Comfortable learning new software systems and processes
Nice to Have• Experience working with CRM systems such as Salesforce, HubSpot or similar platforms
- Familiarity with data hygiene, record management or deduplication practices
- Experience working with accounting, billing or financial records
- Ability to navigate unfamiliar systems with minimal supervision
